The main duties of the role will include:- Manage relationships with key external and internal contacts Extensive diary management; arranging meetings, booking meeting rooms and organising catering Organising travel arrangements Collating information and preparing agendas for meetings; circulating agendas and background documentation prior & minute taking and follow up of action points taken Develop and maintain effective working relationships with internal and external client and investees; many of which will be high profile senior executives and non-exec directors Extensive liaison with internal infrastructure and investment team to support and manage team & client internal and external events Pro-active management of contact list via CRM System Support project work as required to help the investment activity (marketing, investment processes, portfolio admin etc.) Preparation of reports, memos, letters and other documents, using word processing, spreadsheet, database, and/or presentation software Prepare and manage responses to incoming correspondence containing routine enquiries Manage and coordinate the set up and running of events (both internally and externally) General administration; e.g. photocopying, filing, postage Set up of virtual meetings, teleconferences etc. Respond to general office management queries from staff Screen and direct telephone calls as required Covering/supporting the PA as neededEssential skills and experience Proven experience working as a PA Experience supporting at Senior Executive level Knowledge of administrative and secretarial procedures with an advanced knowledge of MS packages Highly organised with excellent ability to coordinate of people and resources with a hands on and can do attitude Outstanding communication skills and professional, courteous manner and the ability to get the best out of people. Calm and measured will the confidence and ability to take of control of the smooth and efficient running of the Director’s office. Experience ideally gained within a corporate financial or professional services environment, corporate and or blue chip environment High level of attention to detail.The company are offering a competitive salary of £28-35,000 DOE plus excellent benefits.
